ChatGPT vs Copilot vs Claude vs Gemini for Work: How to Choose
There is no single best AI assistant. The right one usually follows the office suite your team already lives in, then your data terms and admin needs. Here is a practical way to compare them on your own work.
Updated October 20, 2026
Start with where your work already lives
- Mostly Microsoft 365 (Outlook, Word, Excel, Teams, SharePoint): start your test with Microsoft 365 Copilot, which works inside those apps with your existing permissions.
- Mostly Google Workspace (Gmail, Drive, Docs, Sheets, Meet): start with Gemini for Google Workspace.
- A mix of tools, or you want one general assistant: compare ChatGPT business plans and Claude team and enterprise plans, which connect to many apps.
Model quality on a generic question matters less than whether staff can use the assistant safely inside the documents and email they already work in, without copying sensitive data into a separate window.
The four options at a glance
- ChatGPT (OpenAI): a flexible all-round assistant for drafting, brainstorming, spreadsheet help, analysis and coding, with business plans and connectors to common apps.
- Microsoft 365 Copilot: strongest when your Word, Excel, Outlook and Teams content is organized; it brings that context into the apps people already use.
- Claude (Anthropic): well regarded for careful writing, long-document analysis and structured reasoning, with team and enterprise plans that add admin and security controls.
- Gemini (Google): the natural fit for Gmail, Drive and Docs teams, with Workspace admins controlling what it can reach.
All four change features and plans often. Treat this as a decision framework and confirm current details on each vendor's site before buying.
What to compare beyond the chat window
- Office-suite fit: does it work inside the apps your team opens every day?
- Business plan and admin controls: central billing, user management, single sign-on, audit logs and the ability to remove access when someone leaves.
- Data terms: whether business data is used to train models under business terms, and how long data is kept. Read OpenAI's business privacy page, Anthropic's privacy center and the equivalent Microsoft and Google pages.
- File handling: how it reads PDFs, spreadsheets and long documents, and whether it respects existing file permissions.
- Connectors: which of your other systems it can reach, and who controls those connections.
- Strengths for your tasks: writing, analysis, summarizing meetings, spreadsheets or code.
Run a fair two-week trial
- Pick five real tasks your team does every week, such as a customer reply, a meeting summary, a spreadsheet question, a proposal draft and a policy question.
- Use clean, non-sensitive versions of real material. Our list of what never to paste into ChatGPT applies during trials too.
- Give two or three people each tool for the same tasks, using business trial accounts rather than personal ones.
- Score each result on accuracy, editing time needed, tone and whether it made anything up.
- Check the admin side: how users are added and removed, what logs exist and what the data terms say.
- Decide on evidence: the tool that saved the most checked time on your tasks, with terms you are comfortable with.
Common mistakes when choosing
- Choosing from a demo or a viral comparison instead of your own tasks.
- Letting each team buy a different assistant, then paying for overlap.
- Turning on suite-wide AI before cleaning up who can see which files; the assistant can surface documents people technically had access to but never knew about.
- Ignoring review time; a tool that drafts fast but needs heavy rewriting saves little.
- Skipping training and a short usage policy.
Our guides on the real cost of AI tools and AI training for employees cover the last two.
Can you use more than one?
Yes, and many businesses do: the suite assistant for email and documents, plus one general assistant for writing and analysis. Keep it deliberate. Approve each tool for specific uses, apply the same data rules to all of them and review the list every quarter.

Where ASL fits
When the question is not which chatbot to buy but how to answer from your own documents, a knowledge base may fit better. Viavitna answers only from content you approve and cites its sources. Frequently asked questions
Which is better for business, ChatGPT or Copilot?
It depends on your tools. Microsoft 365 Copilot fits teams that live in Outlook, Word, Excel and Teams; ChatGPT is a flexible general assistant across mixed tools. Test both on your own tasks.
Is Claude or ChatGPT better for writing?
Both are strong writers. Teams often prefer one or the other for tone and long-document work, so compare them on your real documents during a short trial.
Should a Google Workspace business use Gemini?
It is usually the first one to test, because it works inside Gmail, Drive and Docs under your Workspace admin controls.
Do these tools train on our business data?
Business and enterprise plans generally offer terms that limit or exclude training on your data, but details differ and change. Read each vendor's current business privacy terms.
How do we choose fairly?
Run a two-week trial with five real, non-sensitive tasks, two or three people per tool, a simple scoring sheet and a check of admin controls and data terms.
